Shorten a text without losing its meaning

A message has grown long and its main point is getting lost? Bonnie can help make it shorter for its audience: keep the facts, remove repetition and check what changed.

How Bonnie helps with this task

Keep the important facts

Identify the dates, amounts, restrictions and commitments that the shorter version must preserve.

Match the space available

Ask for a paragraph, a few sentences or a character limit. Check the final length in the editor where you'll use it.

Compare levels of detail

Try a short message and a fuller version. Restore details if leaving them out changes what the reader understands.

Before and after: a team message

Original example: 'Hi everyone, I wanted to remind you once again that our meeting has provisionally been scheduled for tomorrow at eleven in the morning. However, we will only be able to hold it if the draft is ready by that point. If the draft isn't ready, we will need to make a separate arrangement for another meeting time.'

Hi everyone, let's meet tomorrow at 11 if the draft is ready. Otherwise, we'll agree a new time.
  • The date, time and condition remain.
  • Repeated reminders and long introductions are removed.
  • No promise to finish the draft or unagreed replacement time has been added.

The shortest version is not always the most useful. 'Tomorrow at 11' loses the condition and could mislead the team.

Give the edit a clear brief

For a long text, agree on its main point first. This helps distinguish repetition from details that the message actually needs.

  1. Share the full text or select a passage.
  2. Name the format: a message, email, description or note.
  3. Specify a length and tone, such as five sentences in straightforward language.
  4. List the facts and conditions that must remain.
  5. Compare the result with the original before sending or publishing it.

Check more than the word count

Continue with a specific request: 'Keep the reason for declining, but make the rest shorter' or 'Make it less formal without adding anything'. To capture the main ideas of somebody else's article, choose summarising instead.

  • Numbers and units: is the amount, date or duration still the same?
  • Conditions: are 'if', 'before', 'only after' and exceptions preserved?
  • Commitments: has a suggestion to discuss become a promise to deliver?
  • Tone: has a polite refusal become abrupt or vague?

Yes. It can be easier to verify the result if you first agree on the shorter meaning and then review spelling and phrasing.

Yes. Identify the words and tone you'd like to retain or share a short example. A personal message needn't become a formal document just because it gets shorter.
