How to reply to an email clearly and concisely

A useful reply addresses the sender’s questions, gives realistic times and avoids adding commitments. First separate what is known, what still needs clarification and what you want the recipient to do.

Chat will contain an editable draft. Adjust it to your situation and send it when you are ready.

Example: one document is ready, another needs agreement

The incoming email asks: “Please send the updated estimate by 3 pm today. We also need the work schedule.” The estimate is ready. You can give a schedule update tomorrow, but its approval date is not yet known.

Hello, I will send the updated estimate by 3 pm today. The work schedule still needs agreement; I will update you on its progress tomorrow. If the estimate is enough for your next decision, we can start with that.
  • The first question has a specific answer.
  • The schedule has a time for a progress update without an invented approval date.
  • The reply does not apologise for a mistake that was not part of the situation.

Give the context for your reply

You can set a boundary directly: “Do not promise a date until it is confirmed” or “Do not agree to extra unpaid work.” Check names, amounts, attachments and deadlines before sending the draft.

  1. Paste the incoming email, removing details that are unnecessary for the task.
  2. Explain your goal: agree, decline, clarify terms or move a deadline.
  3. List the facts you can commit to and what remains unknown.
  4. Choose a tone and length, such as calm, plain language and five sentences.

Refine the draft in conversation

Bonnie drafts and edits the text. You check and send the email yourself. If you need a file, ask for a document containing the version you agreed on.

  • “Make it warmer, but keep the refusal.”
  • “Remove the background; the recipient already knows it.”
  • “Add one question that helps us agree on the next step.”
  • “Check whether you added a promise I did not make.”

Adapt it to your situation

The example is a starting point. In chat you can clarify details, change the result and continue the topic.
