How to proofread a text while keeping your meaning

Decide whether you want proofreading or editing. Minimal corrections keep your presentation; a rewrite changes structure and tone. It helps to ask for these separately.

Chat will contain an editable draft. Adjust it to your situation and send it when you are ready.

An example of minimal correction

Original: “I will check the file today. Their is no changes in the attachment.”

I will check the file today. There are no changes to the attachment.
  • “There” is the word needed in this construction.
  • The plural noun “changes” takes “are”.
  • The action, timing and meaning remain the same.

A shorter version can be requested separately: “I will review the file today. The attachment is unchanged.” That is editing rather than just correcting the wording.

What to explain alongside your text

Check numbers, names, quotations and factual claims before using the result. A language correction does not establish that a statement is true.

  1. Name the audience and format, such as an email, message, article or work document.
  2. Choose the scope: errors only, light editing or a full rewrite.
  3. Identify facts and phrases that must remain unchanged.
  4. Ask for the revised version and a short explanation of significant changes.

Compare two versions

Paste the text into chat or attach a supported document. To continue editing, say which version you want to use as the starting point.

  • “Show where you changed the meaning, if anywhere.”
  • “Keep my voice and make only the necessary corrections.”
  • “Make the second version shorter while keeping every condition.”
  • “Flag ambiguous points that need clarification from the author.”

Adapt it to your situation

The example is a starting point. In chat you can clarify details, change the result and continue the topic.
